Stakeholder Portals · Conferences

Stakeholder Portals for Conferences.

Tailored portals for artists, vendors, clients, sponsors, guests, and crew. No passwords. Revocable in one click. A conference is a production that resets itself every ninety minutes. Compass runs the turn schedule, the room-set punch lists, and the door scans from the phones your crew already carries, so the 2 p.m. breakout looks as sharp as the opening keynote.

How It Shows Up

What Conferences Teams Run On Stakeholder Portals.

Six persona rails. Artist, Vendor, Client, Sponsor, Guest, Crew. Each gets a nav built for their job. On conferences jobs, this shows up as summits, multi-track programs, general sessions.

Link is the access. Share a URL. Revoke it and access ends. No passwords to reset, no accounts to deprovision. On conferences jobs, this shows up as summits, multi-track programs, general sessions.

Interactive proposals. Clients open their link to a scrolling proposal they can read, accept or decline, and sign in place. On conferences jobs, this shows up as summits, multi-track programs, general sessions.

Role-scoped guides. Each persona sees only the Know Before You Go sections written for them. On conferences jobs, this shows up as summits, multi-track programs, general sessions.

Industry Outcomes

What Changes For Conferences Operators.

For the production teams behind multi-track conferences: room turnovers on punch lists, AV crews scheduled per session block, check-in scanning at registration and session doors, and briefings that reach every crew phone before the first keynote.

  • Schedule AV and room crews per session block across every track
  • Room-set punch lists per turnover, with photos, closed before doors open
  • Scan attendee check-ins at registration and at session doors
  • Session briefings and day-of guides delivered to every crew phone
  • Mid-day schedule changes push to affected crews instantly
  • Incidents filed from any room route straight to the floor manager

Stakeholder Portals for Conferences · FAQ

Do external stakeholders need to create accounts?
No. Each stakeholder gets a unique link. Opening it drops them straight into the lane that persona is allowed to see. Revoke the link and access ends.
Can a vendor see another vendor's pricing?
No. Every vendor sees only their own POs, COIs, W-9s, and requisitions (even when two of them share a project). The walls are enforced at the data layer.
How is this different from your Corporate Events coverage?
Corporate Events covers the broader client-side program: proposals, stakeholder portals, compliance. Conferences is the production floor itself: session turns, AV crews, door scans, briefings. Many teams use both angles on the same project.
Can we handle a campus spread across three hotels?
Yes. Locations and rooms are modeled per venue, crews are scheduled per building, and the schedule view shows travel gaps between properties so a crew is never booked in two hotels at once.
What happens when the program changes at 11 a.m.?
Update the session block once and the change pushes to every affected crew phone. The old time disappears from their schedule, the new one appears, and the turn punch list moves with it.
